Booking Terms & Conditions – Napton Fields Holiday Cottages

1. Payment & Confirmation

Full payment is required at the time of booking.

Your booking will only be confirmed once payment has been received and written confirmation has been sent by us.

2. Methods of Payment

Payment can be made by bank transfer (details provided on request), cheque, or cash in advance.

All bookings will be confirmed by email upon receipt of cleared funds.

3. Arrival & Departure

Cottages are available from 3:00pm on the day of arrival.

The Shepherd’s Hut is available from 4:00pm on the day of arrival.

Departure for all properties is by 10:00am (11:00am on Sundays).

4. Minimum Stay

A minimum stay of two consecutive nights applies to all bookings.

Bookings of less than two nights cannot be accepted.

5. Christmas & New Year Supplement

For stays between 22nd December and 2nd January (inclusive), a seasonal supplement of £10 per night applies.

The minimum stay during this period remains two consecutive nights.

6. Occupancy & Right to Occupy

The number of guests must not exceed that stated on the booking confirmation.

Maximum occupancy limits apply to each property.

The booking is for holiday use only; no right to occupy or tenancy is created.

Breach of this condition may result in the booking being terminated without refund.

7. Guest Identification & Legal Requirements

To comply with the Immigration (Hotel Records) Order 1972, we are required to record the following details for all guests aged 16 and over:

  • Full name

  • Nationality

For guests who are not British or Irish, we are also required to record:

  • Passport number (or other acceptable identification)

  • Place of issue of the passport or ID

  • Next destination after leaving the cottages

Guests will be asked to provide this information via a secure online form, the link to which will be sent by email prior to arrival. Where required, this information may also be requested during your stay.

The information collected is used solely to meet legal obligations, will be stored securely, and will not be shared unless required by law. We apologise for any intrusion and thank you for your understanding.

8. Cancellation Policy

Cancellations made 14 days or more before your scheduled check-in time are eligible for a 50% refund of the total booking cost.

Cancellations made less than 14 days before check-in are non-refundable.

We strongly recommend guests take out travel insurance to cover unforeseen circumstances.

9. Guest Responsibilities

Guests are asked to keep the cottages and contents in good condition. Any damages, breakages, or extra cleaning will be charged at cost.

Please respect that the cottages are on a working farm; access is restricted to designated guest areas.

10. Fire Safety

Smoking, candles, and open flames are strictly prohibited inside all properties.

Please familiarise yourself with the fire safety information provided in each cottage.

11. Electric Vehicles

Charging of electric vehicles is not permitted from cottage electrical outlets due to fire safety and insurance restrictions.

Guests requiring EV charging should use appropriate public charging facilities nearby.

12. Hot Tub & Sauna (Shepherd’s Hut only)

The hot tub and sauna are available as an optional extra and must be used responsibly.

Guests must follow the safety instructions provided.

Use of the hot tub and sauna is at guests’ own risk.

13. Liability

The owners accept no responsibility for loss, damage, or injury to guests or their belongings during their stay. Vehicles are parked at guests’ own risk.

14. Pets & Smoking

Pets and smoking are not permitted in the cottages or Shepherd’s Hut.
